POSITION SUMMARY 

 

HDC is recruiting for a transaction manager and administrative assistantThis hybrid position works within the leasing team and also provides general administrative support across the executive team 

Transaction and Documentation Support 

  • Maintain organized digital lease and contract files 

  • Track key lease dates, amendments, and deadlines 

  • Assist with assembling lease packages and documentation 

  • Collect, assemble, and organize research on leases, invoices, contracts, and properties 

  • Prepare internal summaries, spreadsheets, and reports 

Tenant and Vendor Coordination 

  • Onboard property tenants into our digital platforms  

  • Coordinate tenant and vendor meetings, including scheduling, reminders, and calendar management 

  • Serve as a back-office point of contact for document collection and communication 

Systems and Platform Management 

  • Ensure shared files on the company server are up to date and properly organized 

  • Make periodic updates to Costar, VTS (CRM), Yardi, website listings, and other software applications 

  • Maintain accurate property and transaction records 

Company and Event Support 

  • Assist with research, organization, and outreach in support of acquisitions and investor relations 

  • Assist with internal meetings, company celebrations, tenant relations events, and volunteer events 

  • Assist with special projects and additional administrative duties as assigned 

REQUIREMENTS: 

  • Two- or four-year college degree 

  • Proficiency in MS Word, Excel, Outlook, and PowerPoint 

  • Willingness to work 5-days per week in office in Addison, Texas 

  • Demonstrated ability to learn new skills quickly 

  • Strong attention to detail, ability to multitask, and organizational skills


Preferred (not required): 

  • At least three years of relevant experience in a commercial real estate company with a focus on supporting leasing teams and interfacing with tenants.  

  • Proficiency in DocuSignPhotoShop and/or Canva, Yardi, Argus, CoStar/Loopnet, AI-based agents such as ChatGPT/Gemini/Claude, and CRM software such as Zoho or Salesforce 

  • Live within a 30-minute commute of the office (in Addison, TX)
