POSITION SUMMARY
HDC is recruiting for a transaction manager and administrative assistant. This hybrid position works within the leasing team and also provides general administrative support across the executive team.
Transaction and Documentation Support
Maintain organized digital lease and contract files
Track key lease dates, amendments, and deadlines
Assist with assembling lease packages and documentation
Collect, assemble, and organize research on leases, invoices, contracts, and properties
Prepare internal summaries, spreadsheets, and reports
Tenant and Vendor Coordination
Onboard property tenants into our digital platforms
Coordinate tenant and vendor meetings, including scheduling, reminders, and calendar management
Serve as a back-office point of contact for document collection and communication
Systems and Platform Management
Ensure shared files on the company server are up to date and properly organized
Make periodic updates to Costar, VTS (CRM), Yardi, website listings, and other software applications
Maintain accurate property and transaction records
Company and Event Support
Assist with research, organization, and outreach in support of acquisitions and investor relations
Assist with internal meetings, company celebrations, tenant relations events, and volunteer events
Assist with special projects and additional administrative duties as assigned
REQUIREMENTS:
Two- or four-year college degree
Proficiency in MS Word, Excel, Outlook, and PowerPoint
Willingness to work 5-days per week in office in Addison, Texas
Demonstrated ability to learn new skills quickly
Strong attention to detail, ability to multitask, and organizational skills
Preferred (not required):
At least three years of relevant experience in a commercial real estate company with a focus on supporting leasing teams and interfacing with tenants.
Proficiency in DocuSign, PhotoShop and/or Canva, Yardi, Argus, CoStar/Loopnet, AI-based agents such as ChatGPT/Gemini/Claude, and CRM software such as Zoho or Salesforce
Live within a 30-minute commute of the office (in Addison, TX)
